Vendors will only see your town, event date/time, guest count, event type and commercial summary before accepting. Your full address, surname, email, telephone number and exact venue stay hidden until the booking is confirmed.

Event Financial Details

Help vendors understand the commercial arrangement for your event. Full payment discussions take place after a vendor accepts your booking request.

What do you expect the overall vendor cost or commercial value to be? This helps vendors decide whether the opportunity is suitable.

  • Public event = £0 (guests pay directly)

The £50 Booking Confirmation Payment confirms your booking after a vendor accepts. £25 is a vendor security deposit (off your final cost with the vendor) and £25 is the Request A Whippy booking/admin fee.

Vendor prices, minimum spends, pitch fees, sales percentages, food orders and any other commercial arrangements are agreed directly between the customer and the independent vendor after acceptance.

£50 Booking Confirmation Payment

To confirm your event booking request, you pay a £50 Booking Confirmation Payment to Request A Whippy.

  • This fee covers matching your request with available independent vendors, notifying vendors, securing an accepting vendor, releasing vendor details after acceptance, administration, payment processing, and cancellation handling.
  • The £50 Booking Confirmation Payment is paid to Request A Whippy, not the vendor, and is separate from any price, minimum spend, pitch fee, event fee, service charge, van hire cost, food order, or agreement made directly between you and the independent vendor.
  • The fee is only charged after a vendor accepts. Once a vendor has accepted, the £50 Booking Confirmation Payment is non-refundable because the platform connection service has been delivered.
  • If no vendor accepts within 7 days, the request expires and you can repost it. No fee is taken.
  • Please ask the vendor directly about allergens, ingredients and dietary requirements before purchasing.
Customers and vendors must not use Request A Whippy to make contact and then move the booking outside the platform to avoid fees, credits, or booking rules. Accounts may be restricted, suspended, or removed if we believe the platform has been bypassed.

Request A Whippy connects customers with independent ice cream vendors. Vendors are responsible for supplying the ice cream service, pricing, attendance, food hygiene, insurance and legal compliance.

The £50 Booking Confirmation Payment is paid to Request A Whippy to secure the platform booking. It does not make Request A Whippy the supplier of the ice cream service.

Booking Confirmation Payment rules

  • The £50 Booking Confirmation Payment secures the platform booking. The vendor remains responsible for attending and providing the service.
  • The booking is not fully confirmed until a vendor accepts and the £50 Booking Confirmation Payment is paid.
  • Once a vendor accepts and you pay the Booking Confirmation Payment, the fee is non-refundable because the platform connection service has been delivered.
  • If the vendor cancels and no replacement vendor can be found, an admin may refund the Booking Confirmation Payment.

Cancellation & refund rules

  • Customer cancels before any vendor accepts: No Booking Confirmation Payment has been taken yet. You can cancel for free.
  • Customer cancels after a vendor has accepted: The £50 Booking Confirmation Payment is not refunded. The accepting vendor's 10 credits are refunded.
  • Vendor cancellation: Admin reviews the reason. If approved, vendor credits may be refunded. If no replacement vendor can be found, the customer fee may be refunded.
  • Weather, venue or platform issues: Admin may refund the Booking Confirmation Payment at their discretion.

No payment is taken now. The £50 Booking Confirmation Payment is only collected after a vendor accepts.
